Role Overview

An Accolade Office Coordinator provides office services by implementing administrative systems, procedures, policies, and manages the day-to-day work that keeps an office running efficiently.  In this position, you will also handle administrative duties & requests, directly supporting leadership team members. 

  • Maintains administrative workflow by studying methods; implementing cost reductions; developing reporting procedures to ensure maximum efficiencies.
  • Upholds rapport with customers, managers, and employees by arranging continuing contacts; researching and developing new services and methods; setting priorities; and resolving problem situations.
  • Provides information to stakeholders (employees and senior leadership) by answering questions and requests in a timely fashion.

A Day in the Life

  • Support phone answering of corporate direct dial calls.
  • High level calendar management skills, to assist with conference room scheduling.
  • Demonstrated ability to maintain confidential and sensitive data.
  • Primary point of contact for contracted facilities vendors and monitoring PHI compliance. 
  • Outgoing and incoming mail handling.
  • Maintains and monitors service contracts, inspection, maintenance and other facility-related logs, including building and facility systems and services, and office equipment.
  • Monitors and ensures readiness of conference rooms, break rooms, restroom facilities and all public access spaces and training rooms.
  • Ensure that all equipment is accounted for and working properly. 
  • Assists with office moves and reconfiguration projects (in close coordination with Onboarding Manager, Facility Manager and IT).
  • Be the first face to our culture to our visitors, office and protect the security and integrity of our company and clients by ensuring that all visitors are signed in and badged appropriately.
  • Monitors routine facility maintenance including: janitorial, document shredding, HVAC adjustments, parking validation, etc.
  • Assist with onboarding of new employees by providing tours and procedural training.
  • Be point person for recruiting team needs for candidate experience for a wide-variety of positions on an ongoing basis as we look to aggressively staff our locations.
  • Hand out temp ID – three times a week, reach out for accounting of badges.  Report back to PM Office when one is lost.
  • EE Photo’s – takes picture, uploads to PM for ID badge to be prepared.
  • Assists with shipping tasks: Term’d EE’s belongings (keeping home addresses confidential), ad hoc IT shipping requests.
  • All kinds of support to the HAC – greeting cards, education material ordering/management of supplies.
